The information below is to help you while you wait for your first appointment.

About your referral

If you have been referred to Frimley Health by your GP or a consultant from another hospital, you should have received a message from us to acknowledge this. Your referral will be reviewed by the clinical team and we will be in touch with you when an appointment is available. 

Waiting for your first outpatient appointment

There is no need to contact us before your appointment unless you have an issue you would like to discuss with us. Please note that the admin team will not be able to discuss medical issues. If you need help with a medical issue before your first appointment, please speak to your GP.

How long will I be waiting for my first appointment?

During your referral

We have a policy about how we manage referrals for planned care

This details how we will communicate and manage your referral, and also sets out some things we need from you while you are waiting for appointments. We will maintain contact throughout your care, and we need you to keep in touch too. 

Patients should be seen and treated based on their clinical need and the trust is committed to offering fair access to services, aligned to national waiting time standards.

How we will communicate with you

The Trust communicates on a digital first basis which provides patients with instant communication and less risk of communication being lost or delayed in the post.

When we will contact you
  • When you are referred to the trust.
  • When an outpatient or diagnostic appointment is booked or cancelled.
  • When a date for surgery is planned.
  • To remind you of an appointment: 2 weeks, 1 week, and 1 day before the appointment. 
    Please confirm that you are attending using the link in the message if you receive one. Please let us know if you need to cancel your appointment.
  • Every 11 weeks to maintain contact and confirm that you continue to require treatment.
  • Occasionally when we need you to contact us to discuss something.
  • Messages from your care team, which may include:
    • A phone or video appointment
    • A call from a nurse
  • Feedback surveys.
Telling us your communication preferences

Digital communication is not suitable for all patients and we are able to send you letters in the post.

Please contact us to let us know how you need us to get in touch with you. You can also do this through MyFrimleyHealth Record. 

We will use these means unless you tell us you need communication by letter:

MyFrimleyHealth Record

We recommended that patients register for MyFrimleyHealth Record.  You can also register for proxy access for someone else

Our online platform allows you to:

  • Access your Frimley Health medical records
  • View details of appointments and book follow ups
  • Attend online consultations
  • View medications, test results, and letters
  • Send secure messages to your care team

During your care under Frimley Health

Reasonable notice  

When contacting patients regarding an appointment, we will provide a minimum of 2 dates with 3 weeks notice.

Appointment dates can be offered with less than three weeks notice and you can choose to accept.

If we are offering an appointment with less than 2 weeks notice we will call you rather than send a letter.

Maintaining contact

Patients have a responsibility to remain in contact with the trust in relation to their care.

If we make a number of attempts to contact you without success you may be discharged back to your GP. We will keep in contact with you throughout your care.

Ready and available

Patients need to be ready and available for treatment when the trust is able to proceed. Where a patient is unavailable for treatment due to long term absence or illness, they may be taken off the waiting list. 

If you miss your appointments

The trust has over 90,000 missed appointments each year where a patient doesn't attend their planned appointment.

As long as you let us know if you can't make your appointment, we can often make it available for another patient waiting to be seen. 

Each appointment costs the NHS approximately £150. Please allow us to reduce waiting times and save resources by attending your appointment or by telling us if you need to cancel with as much notice as possible. 

If you cancel your appointment multiple times

Frequent cancellation of appointments delays your care and could become a clinical risk. Please be ready and available for treatment.

Attending your appointment

If you have an outpatient appointment with a specialist, this will take place in one of our clinics. 

Your appointment letter / SMS text or MyFrimleyHealth Record app will tell you the details of the clinic and where you’ll need to go for your appointment. Please make sure you arrive no more than 10 minutes before your appointment time.

If you can't attend your appointment, please rearrange it either through MyFrimleyHealth Record or by contacting the team who made the appointment for you. Their details will be on the letter you received. Please have your NHS number or medical records number (MRN) to hand if possible to help us to help you most efficiently. 

Our staff will do their best to help you be seen as soon as possible,  however delays are sometimes unavoidable. You will be informed if your appointment is not running to schedule. Please bear in mind that there will be other patients in the waiting room who may be there to see a different clinician so they could be called before you even if they arrive later. 

At your appointment, you will see either a consultant or a specialist member of the team. If you have any questions or concerns about your condition or treatment, please ask during your appointment or contact the clinical team.

What to bring with you

Please bring your appointment letter with you and also any medication you currently take, in its original container. This is so the team can see the strength and dosage of your medicines.

We strongly advise that you do not bring any items of value (financial or sentimental) into the hospital as we have very limited secure storage facilities and cannot be held liable for any property lost on our premises.

Please speak to a senior nurse if you require safe storage of small items.

Smoking

Please be aware that all hospitals in Frimley Health have a no smoking or vaping policy. 

Smoking is not permitted in our buildings or in any of our grounds. The same applies to the use of e-cigarettes (e-cigs or vapes).

Respecting your wishes

We aim to respect the privacy, dignity, religion and cultural beliefs of every patient. Please let us know at clinic if you have any specific needs.

On arrival please make sure to check-in either at one of the self-service kiosks or reception desks. This is important as it tells the nursing staff that you’ve arrived for your appointment.

The check-in kiosks are similar to those used at GP surgeries and airports. You can also use them to update your contact details.

After checking in, you’ll be directed to the appropriate waiting area where a nurse will call you for your appointment. Staff will be on hand to help guide you through the process and answer any queries you may have.

Confirming your details

The kiosk or receptionist may ask you to confirm your details. This could include your:

  • name
  • address
  • telephone number
  • date of birth
  • doctor (GP)

The data we record about you is to ensure we have accurate information about you and can give you the right care. It also helps us plan our healthcare services in a way that delivers the best possible patient experience.

At our hospital main entrances and outpatients reception areas you will find touch-screen kiosks you can use to check-in quickly.

Look for the 'self check-in' signs.

How to check in with the self service kiosk

  1. Tap the screen to start
  2. Enter your name, date of birth
  3. Confirm your details
  4. Wait for confirmation and proceed to the waiting area

Your name will be called by a clinician or shown on the screen when it's your turn.

Please speak to a member of staff if you have waited past your appointment time as there may be a delay.

What if I’m late?

You can still check in via the kiosk. If you're more than 15 minutes late, it may direct you to speak with a member of staff. 

Do I still need to see a receptionist?

Not usually — if your check-in is successful, you can go straight to the waiting area.

However, please speak to member of staff nearby if:

  • You need help
  • You are unsure of your appointment
  • You are attending as a walk-in
Is the kiosk accessible?

The kiosks are designed to be:

  • Wheelchair accessible
  • Include large text options
  • Offer multilingual support (where available)
Is my information safe?

Your personal details are:

  • Encrypted
  • Not stored on the kiosk
  • Compliant with NHS data protection standards
  • Has a privacy screen
Can I update my details at the kiosk?

You can also update your details using MyFrimleyHealth Record.

For name or medical record updates, please speak to a member of staff.

When your appointment is finished you may be told you need a follow-up appointment. This will either be booked in by the receptionists at the clinic or picked up by the speciality clinical administration teams. They will let you know the date and time of the follow-up appointment by letter, text or through the MyFrimleyHealth Record app.
